  • SMTP configuration: SMTP server credentials you provide for sending emails. Passwords are encrypted at rest using industry-standard encryption.
  • Email content: the subject, body (HTML and/or plain text), and recipient details of emails you submit through our service.
  • Usage data: login timestamps, API request metadata, and audit logs of actions performed within your account.
  • Technical data: IP addresses, browser type, and session information collected during your use of the platform.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the MailControl email delivery service.
  • Process and deliver email campaigns and messages on your behalf.
  • Authenticate your identity and secure your account.
  • Monitor service performance, detect errors, and troubleshoot delivery issues.

3. Email Content and Responsibility

MailControl acts solely as a technical intermediary for email delivery. We do not monitor, review, endorse, or take responsibility for the content of emails sent through our platform. You, as the user, are fully responsible for:

  • The content, accuracy, and legality of all emails sent via MailControl.
  • Ensuring you have obtained proper consent from recipients before sending emails.
  • Compliance with all applicable anti-spam laws and regulations, including but not limited to the CAN-SPAM Act, GDPR, and any local legislation.
  • The proper use of recipient data, including email addresses and personal information.

MailControl shall not be held liable for any damages, claims, or legal actions arising from the content of emails sent through our service or for any misuse of the platform by its users.

4. Data Retention

We retain your account information for as long as your account is active. Email queue data (recipient details, message content, delivery status) is retained for operational purposes and may be purged periodically. You may request deletion of your account and associated data by contacting us.

5. Data Security

We implement appropriate technical and organizational measures to protect your data, including:

  • Encryption of SMTP passwords at rest using libsodium.
  • Secure hashing of account passwords and API keys.
  • Optional two-factor authentication (2FA) for account access.
  • Role-based access controls for administrative functions.

While we take reasonable steps to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.

6. Data Sharing and Third Parties

We do not sell, rent, or trade your personal information to third parties. We may share data only in the following circumstances:

  • When required by law, regulation, or legal process.
  • To protect the rights, safety, or property of MailControl, our users, or others.
  • With service providers who assist in operating the platform, under strict confidentiality obligations.

  • Decisions made by receiving mail servers to reject, filter, or mark emails as spam.
